Caritas India, invites applications for the position of Admin Associate – Front Desk & Management Support at its Head Office in New Delhi. The role is designed to support the Executive Office and Management Team through efficient coordination, communication, and administrative facilitation.

Primary Role of the Position
The Admin Associate will serve as the key administrative and communication support to the Executive Director’s Office. This role includes handling front desk responsibilities and extending daily secretarial support to the management team.
Key Responsibilities
• Manage front office operations as required.
• Handle official correspondence (phone, email, post), draft letters and replies, and track daily communication.
• Receive, document, and disseminate communication as directed.
• Facilitate and organize official meetings, maintain minutes, and document proceedings.
• Draft speeches, messages, and presentations for the Executive Director as required.
• Assist with preparations for Governing Board and General Body meetings.
• Maintain statutory and official documents for ready access and reference.
• Coordinate guest/partner visits and logistical arrangements for key events.
• Develop and maintain contact databases (e.g., Bishops, Diocesan Directors).
• Liaise between executive leadership and staff for internal meetings.
• Perform any other tasks assigned by the Director or in line with organizational needs.
• Manage Travel Desk
Required Knowledge & Skills
Knowledge
• Office administration and documentation systems
• Proficiency in MS Office, MS Teams, and other digital tools
• Familiarity with development sector (NGO) functioning is desirable

Qualifications & Experience
• Bachelor’s or Master’s Degree in any discipline
• Minimum 3 years of relevant experience in a similar role
• Prior experience in the development sector is an added advantage
